Hostel fee collection and PG rent tracking
An illustrative workflow for checking charges, recording payments and following up on outstanding hostel fees or monthly PG rent.
Illustrative use case: This example explains a possible workflow. It is not a customer story or a measured result.
A common operations challenge
A finance team needs to identify which residents still owe fees. Some payments are recorded in a spreadsheet, while receipts and payment messages are stored separately. A reminder sent before these records are reconciled could reach a resident who has already paid. This example focuses on keeping the fee register and follow-up process consistent; it is not a reported customer result.
An example workflow
Create the resident’s fee plan and billing cycle, then record the applicable charges and opening balance. Keep rent, deposits and other charges identifiable. Match confirmed payments with the correct resident and billing period before updating the outstanding amount. Review pending balances before scheduling reminders, and include the period, amount due and contact for questions in each message. For example, if a ₹6,000 monthly charge has a confirmed ₹2,000 partial payment, follow-up should refer to the remaining ₹4,000 rather than the original total.
What to check in practice
Check that confirmed receipts agree with the fee register, that partial payments leave the correct balance, and that reminder recipients reflect current dues. Keep payments awaiting verification separate from confirmed collections. Review discrepancies at the end of the billing cycle. Any claim about reduced collection time or improved cash flow would require measured results from an actual implementation.
